Employees need time to understand their benefit options before they’re asked to make choices. For brokers, helping HR prepare clear, timely communications is an important part of making open enrollment run smoothly.
A little planning upfront can reduce confusion, give employees time to ask questions, and help HR manage the enrollment period more effectively.
1. Map Out the Messages
Work with HR to create a communication calendar that includes an advance announcement, opening-day instructions, progress reminders, and a final deadline notice.
The first announcement should answer five questions:
- When does enrollment begin and end?
- When will coverage take effect?
- Where can employees review their options?
- How will they enroll?
- Who can help?
Choose channels that reach the entire workforce, including employees who rarely access company email.
2. Make Changes Easy to Understand
Help HR summarize changes to available plans, employee costs, coverage, or enrollment requirements. Explain what employees should review and where they can find complete benefit materials.
For example, a change in medical plans may prompt employees to check their providers and prescriptions. Clear direction helps them focus on the details that matter to their household.
3. Give Employees a Head Start
Share a short preparation checklist before enrollment opens:
- Test access to the enrollment system.
- Review current benefits and upcoming options.
- Gather required dependent information.
- Consider questions about coverage or costs.
- Save the deadline and support contact.
Confirm who will answer employee questions and how unresolved issues will be handled.
When brokers and HR prepare together, employees enter open enrollment knowing where to start, what to review, and how to get help.
